Voicemail

Listening to your voicemail from your desk phone

  1. If you have voicemail, the handset on your phone will be lit up.
  2. To listen to your messages, press the Voicemail button on your phone.
  3. Enter your PIN when prompted to do so, and then follow the voice instructions.
  4. If you’re unsuccessful logging in, you may be asked for your ID. In this system, it’s your 11-digit phone number (ex: 1-570-675-9XXX).

Listening to your voicemail when away from your desk

  1. To check if you have voicemail and to listen to it, call 570-675-9288. If you are on campus (but not at your desk), you can just dial extension 288.
  2. You’ll be asked for your ID. In this system, it’s your 11-digit phone number (ex: 1-570-675-9XXX).
  3. Enter your PIN when prompted to do so, and then follow the voice instructions.

Listening to your voicemail on your computer

To check if you have voicemail and to listen to it on your computer:

  1. If you’re not on campus, connect to the Penn State Virtual Private Network (VPN)
  2. Open a web browser and go to the Voicemail Self-Service Portal
  3. If prompted, log into WebAccess
  4. Click on ”Voicemail”
  5. You will see a list of voicemail messages that you can play.

Resetting your voicemail PIN

If you’re unsuccessful logging into voicemail, reset your PIN:

  1. If you’re not on campus, connect to the Penn State Virtual Private Network (VPN)
  2. Open a web browser and go to the Voicemail Self-Service Portal
  3. If prompted, log into WebAccess
  4. Click on ”Voicemail Settings”
  5. Just under the black bar at the top of the window is a menu bar in very small print. Point to “Passwords” and then click on “Change PIN”
  6. Enter your new PIN in both fields, then click “Save”

Other Phone Functions

Forwarding calls using your desk phone

  1. To forward calls to another number while at your desk phone, press the Forward All or Fwd All soft key on your desk phone display.
  2. Enter the phone number (with leading 8+1) or the extension you would like your phone to forward calls to.
    ~OR~
    You can press the Voicemail button to forward your calls directly to your voicemail. This is helpful if you will be away from your office for an extended period of time.

To revert your calls back to your desk phone, press the Forward Off or Fwd Off soft key on your desk phone display.

Forwarding calls using a computer

To use a computer to forward your office calls:

  1. If you’re not on campus, connect to the Penn State Virtual Private Network (VPN)
  2. Open a web browser and go to the Voicemail Self-Service Portal
  3. If prompted, log into WebAccess
  4. Click on ”Phone Settings”
  5. In the left-hand column, click “Call Forwarding”, then click your phone number on the right.
  6. Check the “Forward all calls to” checkbox.
  7. Enter the phone number (with leading 1) or the extension to which you’d like to forward your calls.
  8. Click Save.

 To revert your calls back to your desk phone, go to the same web page, un-check the “Forward all calls to” checkbox, and click Save.

Transferring a call

  1. Tell the person on the line to hold while you transfer the call.
  2. Press the “Transfer” button on your desk phone.
  3. Dial the extension that you would like to transfer the call to.
  4. Press the “Transfer” button again to complete the call transfer.

Transferring a call directly into someone’s voice mailbox

  1. Press the “Transfer” button on your desk phone.
  2. Dial extension 266 (from off-campus dial 570-675-9266).
  3. After you are prompted to enter the mailbox number, enter the full eleven (1) digits of the person’s phone number (i.e., 1-570-675-9XXX) then press #2
  4. After you hear the person’s voicemail message, press the “Transfer” button again to complete the call transfer.

Holding a conference call by telephone

  1. Call the first participant of your conference. Tell this person to please hold as you connect the next participant.
  2. Press the Conference button.
  3. You'll notice the first participant is put on hold.
  4. Dial the number of the next participant.
  5. When the call is answered, let this person know you’re about to connect them to the conference.
  6. If this third participant doesn't answer, or you have the wrong number, you can press the flashing line
  7. appearance on your phone to end the third participant call and return to the previous conference.
  8. Press the Conference button again. All three of you are now on the call simultaneously.
  9. Repeat steps 2 thru 5 for the remaining participants.
  10. You can hold a maximum of 6 participants, including yourself. If you need more than 6 people on your conference call, please consider using Zoom, which can support hundreds of participants at one time.

Programming speed dial numbers on your phone

To use a computer to program speed dial numbers on your office phone:

  1. If you’re not on campus, connect to the Penn State Virtual Private Network (VPN)
  2. Open a web browser and go to the Voicemail Self-Service Portal
  3. If prompted, log into WebAccess
  4. Click on ”Phone Settings”
  5. In the left-hand column, click “Phone Settings”, then click “Speed Dial Numbers” on the right.
  6. Click “Add New Speed Dial”
  7. In the Number/URI field, enter the phone number you want to call
  8. In the Label (Description) field, enter a description of the number (e..g, “Home”)
  9. In the Speed Dial field, enter the speed dial or “shortcut” number (e.g, “3”)
  10. Click Save.
